Terms of Service

These terms apply to use of CytoWorld AI’s website, business accounts and enabled services. By using the service, you agree to the published terms applicable to that use. Where your organization has a separate written service agreement, that agreement governs any conflicting service-specific provisions.

You must have the authority and legal capacity to act for the business using the service. An invitation to a business workspace grants only the access authorized for that account; it does not itself create a new service order.

Keep account information accurate and login credentials secure. Your business is responsible for assigning appropriate access, reviewing team members’ permissions and notifying us of suspected unauthorized use. Do not share credentials or use another business’s data without authority.

Removing a team member or ending an account’s access does not itself delete the business’s records. Access changes, data deletion and service termination are separate actions.

Available features depend on the service agreed with your organization and what is enabled for the relevant business or location. Telephone reception, phone numbers, AI workspaces, appointment features, Google Calendar connections and billing arrangements may require separate setup or activation. Creating an account does not automatically provision a phone number or activate these services.

Your business must provide and maintain accurate clinic information, doctor names, consultation methods, schedules, closures, contact details and instructions. Changes to a schedule do not automatically reschedule or cancel an existing confirmed appointment.

AI reception supports administrative communication. It is not a clinician, does not provide a medical diagnosis or treatment, and must not be used to assess or manage an emergency. In Canada, call 911 for emergencies or use your local emergency service.

AI responses, summaries, transcripts and suggested times can be incomplete or incorrect. A candidate time or submitted appointment request is not a confirmed appointment. The clinic must verify the relevant information and confirm arrangements through its authorized process.

If calendar availability cannot be verified, do not treat a time as confirmed. Follow the available staff follow-up process and verify important names, telephone numbers and appointment details before acting.

Your business must have the permissions, notices and consents required for information it provides or instructs us to process, including patient information, call recording, transcription and AI processing. Provide only information necessary for the agreed service and maintain an appropriate staff contact route for callers.

Our Privacy Policy describes information handling. Service-specific data arrangements with a clinic may add detail. Neither an account setting nor a notice should be treated as proof that every data source or backup has been deleted.

A person with appropriate authority must approve a calendar connection and select suitable calendars. Enabled integrations rely on the provider’s permissions, account status, availability and configuration. Authorization can expire or be revoked, and a connection may require attention or renewed consent.

A saved connection status or a completed sync request does not guarantee that every calendar write succeeded. Check the relevant status and resolve errors with staff support. Connecting, disconnecting or changing a calendar does not by itself move, delete or recreate historical appointments or events.

Third-party services may have their own terms and privacy policies. Their involvement does not remove the specific restrictions on Google API data described in our Privacy Policy.

Service scope, pricing, usage charges, trial periods, payment arrangements and any renewal or cancellation conditions follow the order, quotation or service agreement confirmed with your organization. This page does not create fees beyond those expressly agreed with your organization.

General website descriptions do not replace those agreed commercial terms. Ask us to confirm the applicable arrangements before using a feature whose charges or availability are unclear.

Do not use the service for unlawful activity, fraud, harassment, unauthorized access, security bypasses or disclosure of information you have no right to share. Do not disrupt the service or attempt to access another business’s records.

You retain the rights you lawfully hold in information you provide. You authorize processing only as needed to deliver the agreed service and meet applicable obligations. This does not change patients’ or other individuals’ rights in their personal information. CytoWorld and its licensors retain their rights in the service software, design and materials.

Service may be interrupted by maintenance, provider outages, authorization problems or other operational issues. Where reasonably possible, we will communicate material service changes or required maintenance affecting your organization. We may restrict use when necessary to address a security risk, misuse or legal requirement.

Termination and cancellation arrangements follow your service agreement and applicable requirements. Before ending service, contact us about available record export and deletion arrangements. Ending access does not automatically remove records retained by the business, Google or other providers.

AI output and third-party availability are not guarantees of accuracy or uninterrupted service. Each party remains responsible for its own obligations under the applicable service agreement and law. Any service-specific warranties or limits of liability must be set out in the agreement with your organization. Nothing here excludes a right or obligation that applicable law does not allow to be excluded.

These terms take effect on the date shown above. We will communicate material changes where appropriate, and a change will not retroactively replace a signed service agreement unless the parties agree or applicable law requires it.
